Guide

Connect Zoom for mediation sessions

Neutly connects to your Zoom account so confirmed mediation sessions can receive automatic meeting links, waiting-room URLs for parties, and optional breakout-room setup for caucus. This guide covers installation from a mediator practice account, day-to-day use, removal, and common errors. Neutly does not host live video, Zoom remains the meeting provider.

General information only, not legal advice, mediation advice, or a substitute for professional judgment. Neutly is administrative software for mediator practices; it does not host live video or select court neutrals. Mediators and lawyers remain responsible for their work.

Updated

Before you connect

You need a Neutly staff account with permission to manage integrations (typically Practice Admin). Each mediator who runs online or hybrid sessions should connect their own Zoom user, Neutly stores OAuth tokens per mediator, not one shared Zoom login for the whole practice.

  • A Zoom user with permission to schedule meetings on the account you want parties to join.
  • In Zoom web settings: enable breakout rooms and “Assign participants to breakout rooms when scheduling” if you want caucus rooms pre-configured on create.
  • Neutly must have Zoom OAuth credentials configured on the server (your administrator or Neutly operations). If Integrations shows “Zoom OAuth is not configured on this server,” contact support before attempting connect.

Adding the app (connect Zoom)

Authorization always starts inside Neutly: not from a bare Zoom Marketplace test link. Neutly signs the OAuth state to your signed-in mediator account; starting OAuth elsewhere may fail with a missing-state error.

  • Sign in to the Neutly staff app at app.neutly.com.
  • Open Account → Integrations → Connected Services.
  • Under Zoom, click Connect Zoom (or Reconnect if tokens expired).
  • Sign in to Zoom when prompted and approve the requested permissions.
  • Return to Neutly: you should see Connected with your Zoom email. If breakout rooms could not be enabled automatically, follow the on-screen hint and use Sync or reconnect after changing Zoom profile settings.

Troubleshooting connection

Most failures are redirect URI mismatch, unpublished-app test users, or starting OAuth outside Neutly.

  • Redirect URI / error 4700: the callback URL shown in Neutly must match the Zoom app OAuth Allow List exactly (including https and path /api/integrations/zoom/callback).
  • Unpublished app: add your Zoom user as a Marketplace test user on the Zoom app until the app is published.
  • “Missing state” or “did not return an authorization code”: click Connect Zoom from Account → Integrations again, do not reuse an old Marketplace test URL.
  • Still stuck: email support@neutly.com with your practice name, mediator email, and a screenshot of Account → Integrations.

Usage, connect and health

After connect, Integrations shows connection status, linked Zoom email, and whether breakout scheduling succeeded. Practice admins can open the integration setup wizard for a checklist across calendar and Zoom.

  • Connect / Disconnect / Sync: manage OAuth and refresh breakout-related settings from Account → Integrations.
  • Integration health on the dashboard alerts when Zoom tokens need reconnect.

Usage, booking and sessions

When Zoom is connected for the assigned mediator, video and hybrid session modes can auto-create or update Zoom meetings on confirm. In-person sessions do not create Zoom meetings.

  • Public and staff booking flows block video/hybrid if the assigned mediator has not connected Zoom, connect first or choose in-person.
  • Parties receive session details and join links through Neutly notifications; mediators can use the case virtual session panel and party gateway links where configured.
  • You can still paste an external meeting URL on a case when your practice allows manual links, OAuth auto-create is optional once Zoom is connected.

Usage, breakout rooms (caucus)

Neutly attempts to enable breakout-room scheduling on your Zoom user when you connect. Caucus workflows depend on your Zoom plan and profile settings.

  • If enable fails, Neutly shows a reconnect hint, update Zoom profile settings, then Sync or reconnect in Integrations.
  • Meeting updates and roster changes may refresh breakout assignments, see case session and party roster tools in the staff app.

Removing the app (disconnect and deauthorize)

Removing access happens in two places: Neutly (stop creating meetings with your tokens) and Zoom (revoke the app from your Zoom account).

  • In Neutly: Account → Integrations → Zoom → Disconnect. Neutly deletes stored OAuth tokens for that mediator and stops auto-creating meetings on future bookings.
  • In Zoom: Profile → Apps → find Neutly → Remove or Revoke. This revokes Neutly’s access at Zoom even if you already disconnected in Neutly. Neutly also receives Zoom’s deauthorization notification and clears the connection automatically when the app is removed in Zoom.
  • Existing case records, audit log entries, and past meeting URLs already sent to parties remain on the matter file for your records, disconnect does not delete historical case data.
  • Neutly does not retain Zoom access tokens after disconnect. Party PII and matter documents are governed by your practice data retention settings in Neutly, not by Zoom disconnect alone.

Common questions

Does Neutly join or record my Zoom meetings?

No. Neutly schedules meetings via Zoom’s API and sends links to parties. Live video, recording, and waiting-room policy are controlled in your Zoom account.

Can billing staff connect Zoom for mediators?

Only roles with integration write permission can connect Zoom. Mediators and practice admins connect their own Zoom users; coordinators without permission should ask an admin.

What happens to upcoming sessions if I disconnect?

Disconnect stops new auto-created meetings. Sessions that already have a Zoom link keep that URL on the case until you change or cancel the session manually.
