Responsible AI for mediation practices

Neutly offers optional AI tools to help mediators and practice administrators with administrative preparation — intake briefs, document summaries, enquiry triage, and practice copilot chat. AI is staff-only, opt-in, and disabled by default until your practice admin turns it on. It is not legal advice, not mediation services, and not visible to parties unless a mediator explicitly sends reviewed content.
Principles
Six non-negotiable rules for mediation AI
Inspired by the same human-in-the-loop standards we use across BridgeOS products — adapted for ADR confidentiality and mediator professional responsibility.
Human review always
Every output requires mediator review before use or sending. No auto-send to parties, lawyers, or enquirers.
Pseudonymised party data
Party names and identifiable intake text are tokenised before external model calls. Encrypted notes and settlement deeds are never sent.
Transparent credits wallet
Usage is metered through a practice wallet — $10 welcome grant at signup, Stripe top-ups from $5, optional monthly caps for practice admins.
Not legal advice
AI assists with administrative preparation and operational visibility — not mediation strategy, outcomes, or legal advice.
Practice controls
AI stays off until a practice administrator enables it. Mediators see their own usage; co-mediators do not see each other’s private prep.
Staff-only — parties never see AI output
AI runs inside the authenticated staff portal for mediators and practice administrators. Parties, lawyers, and other external contacts do not interact with AI in Neutly.
Generated drafts, briefs, summaries, and copilot replies stay mediator-private unless a mediator copies reviewed content into an email or message they send manually. There is no party-facing chatbot and no AI writing assist on party intake forms.
Human review on every output
AI assists with preparation — it does not decide outcomes, settlement terms, mediation strategy, or conflict-of-interest conclusions. Mediators remain responsible for professional judgment and all party communications.
- No auto-send — email, enquiry, and party communication drafts require mediator review before anything leaves the practice.
- No automatic document disclosure — tier suggestions are advisory; mediators confirm any change from mediator-only to shared.
- Sensitive context (intake text, document extracts, enquiry bodies) is only used after an explicit confirm step for that tool invocation.
- Every AI-generated surface shows an AI-generated badge and disclaimer in the product.
Party privacy and pseudonymisation
Party names, intake answers, enquiry bodies, document filenames, and raw document text are not sent to external AI providers in identifiable form. Structured party details are pseudonymised before any external model call.
Settlement deed content and encrypted mediator notes are never sent to external AI providers. Position papers are not processed automatically on upload — summarisation is mediator-triggered only, with pseudonymised text.
Usage analytics show spend, feature keys, and token counts for practice administrators — not other mediators’ generated brief text or copilot thread content.
AI credits wallet
AI usage is metered through a practice credit wallet in your billing currency — there are no separate AI subscription products. When credits run out, AI features pause until you top up.
- New practices receive a one-off $10 welcome credit grant at signup (trial or first paid plan).
- Top-ups via Stripe from $5 to $500; credits stack with no calendar expiry in the first release.
- Customer debit reflects provider cost plus a platform markup; practice administrators can view practice-wide spend and configure optional monthly caps.
- Mediators see their own usage and history; co-mediators do not see each other’s private AI prep or copilot threads.
Administrative prep — not legal advice
Neutly AI is practice operations software. It may help summarise matter context, draft administrative correspondence, or surface scheduling and onboarding status — always subject to mediator review.
It does not provide legal advice, mediation strategy, neutral evaluation, or substitutes for a qualified mediator. Refer parties and representatives to their own advisers for legal questions.
Practice controls and access
AI remains off until a practice administrator enables it. Individual modules can be toggled per practice, and access follows role rules — practice administrators manage enablement, top-ups, and practice-wide usage; mediators run AI within their permitted features when the wallet has balance.
